How far in advance should we book event production services?

For most Bay Area events, 4 to 8 weeks of lead time is workable. Larger conferences, galas, and peak dates (May graduations, Q4 holiday programs) book best 8 to 16 weeks ahead so crew and inventory hold cleanly.

What details do you need to build an accurate quote?

Date, venue, guest count, room layout, draft run of show, content needs (presentations, video, music), and load-in/load-out windows. The more complete the brief, the faster we can scope labor, gear, and logistics. Even a rough one-pager helps.

Can we rent equipment without full production support?

Yes. Rental-only is available when your team can handle setup, operation, basic troubleshooting, and on-time return. It is the lowest-cost path when the program is straightforward and you have a confident operator.

Can we hire technicians without renting equipment?

Yes. Labor-only support is available for show calling, A1/A2 audio, video operation, lighting, and stage management. Useful when the venue or another vendor provides gear and you need experienced operators.

What event types do you support?

Corporate meetings and conferences, school and nonprofit programs, festivals and outdoor public events, venue and hospitality events, and private social events throughout the Bay Area.

Do you support hybrid and live-streamed events?

Yes. Camera packages, video switching, audio routing for remote intelligibility, and stream delivery to platforms like Zoom, Teams, YouTube, or custom RTMP destinations. See the hybrid event AV guide for execution details.

Do you deliver, set up, and strike event equipment?

Yes. We can handle delivery, installation, show-day operation, and post-event strike so your team is not managing technical teardown after a long show day.

Do you offer same-day or urgent event support?

When inventory and crew are available, we support rush requests, emergency replacements, and rapid dispatch in the Bay Area. Call as early in the day as possible for the best chance of a same-day response.

Can you work with a venue's house AV?

Yes. We regularly integrate with in-house systems and add supplemental audio, video, lighting, or staging where venue packages are limited. We coordinate with venue tech contacts before show day.

Do you provide staging, drape, and rigging?

Yes. Event scopes can include staging platforms (Wenger StageTek, mobile stages), soft goods, truss, and rigging plans aligned to venue rules and production goals.

What happens if equipment fails during an event?

We plan redundancy where appropriate (backup wireless mic channels, secondary playback, spare cabling) and onsite technicians troubleshoot and swap gear quickly. For higher-stakes programs we add deeper backup paths.

How do booking confirmation and payment work?

Most projects are confirmed after quote approval, contract signature, and deposit. Remaining balances and terms are defined in your proposal before show week.

Which option fits best?

The right fit depends on event size, venue, staffing depth, complexity, and how hands-on your team wants to be on show day.

Rentals Only

Best when you already know what you need, the program is straightforward, and your team can handle setup and operation. Lowest-cost path.

Hybrid Support

Best when delivery and setup should be handled professionally but your team or venue staff can run the show. Reduces risk versus DIY while staying below full-service cost. Some technical knowledge still required during operation.

Full-Service AV / Production

Best when timing, coordination, and reliability matter most, multiple systems must work together, and you want onsite support with minimal hands-on involvement.
